Three Simple Steps in the Quest to Find Your Ideal Intern

Last week, you heard from my intern, Megan, on four reasons why interns are motivated to help you. Are you convinced? I sure was! (And if you haven't check it out yet—yes, she does address the question of money!)

This week, you're getting the follow-up by my second intern, Michael. We've talked about the WHY, and now we'll hit you with the HOW. I'm not sure which of those two questions resonates with you when you're thinking about an intern, but hopefully, we'll provide you with the answers needed to take that next step.

I've only had Megan and Michael for about a month, and am already so thankful for them. So, do yourself a favor and go get an intern (or two). Not sure how? Just keep reading!

Three Simple Steps in the Quest to Find Your Ideal Intern

It’s the end of February and the New Year has already gifted us all with a handsomely exhaustive list of responsibilities…

Social media drafts are long overdue, email updates stack a mile high, and blog posts eagerly await an obligatory glimpse. Somewhere in the sewage of this chaos, you also discover that your most urgent and time-sensitive tasks are often the very ones which you’ve neglected.

But, SUDDENLY, you have an epiphany—you don’t have to do this all on your own! What if you had a helping hand? After all, for every Batman exists a Robin, for every Scooby a Shaggy, and for every Cher a respective Sonny.

What if . . . you had an intern?

You may not be able to offer your intern a salary, but you have compensation in the form of experience that they desperately desire. They can serve as more than a glorified coffee runner, and even play a crucial role in keeping your small business or nonprofit operating at optimum speed.

Finding an intern is actually less complicated than one might assume. There’s not one algorithm that will do the trick or one method superior to others, however, let’s explore three, overarching avenues that will aid your search.

Finding the right intern for your organization lies at the intersection of three avenues:

  1. An understanding of the qualifications for your intern role

  2. A correct and detailed intern position description

  3. An idea of where to find the best interns for your nonprofit or social enterprise

1. Outline your requirements for potential interns.

Think of the search for an intern as paving a yellow brick road that will steer the right candidates to the doors of your organization. If that’s the case, you should to be clear from both an academic and professional perspective so that the right person rings the doorbell.

This begins with you carefully outlining prerequisites including educational achievements (high school, GRE, undergraduate and graduate), portfolio samples you may want to see, and prior work experience. One company might be looking for tenured university seniors with previous agency experience, while others are looking for malleable minds that are eager to learn. The choice is yours, however, you cannot expect more, and receive less, without setting expectations. In turn, you might also discover that you have hired an intern whose skills and talents far exceed the amount of work you have to offer them.

Just remember that it’s okay to be selective. An internship needs to be the right fit for both parties.

 

2. Create a clearly defined intern job description, including the benefits they’ll receive.

No one likes to be exclusive, however, in terms of finding the perfect intern, a certain degree of exclusivity needs to be shown. And just so that we don’t parallel the clique from Mean Girls, let’s put it this way—it’s not them, it’s you.

Be open to students with skills and attributes that may be uncommon for your line of work, however, don’t be deceptive in a job description. If they are looking for a for-profit sales role and you work strictly in nonprofit fundraising, they might not be the right fit. Again . . . that’s okay!

So how do you ensure that your role or program is a right fit for the applicant? Before you begin soliciting resumes, clearly define and outline job standards and provide candidates with an overview of the program in which they’ll be participating. And if your internship provides certifications, credits, or payment, be sure to list these in the job description, too.

Finally, be specific in the language you use to describe the internship. Good candidates don’t often migrate toward listings that use generic language. Because internships can last a series of months (even entire semesters), potential interns want to know exactly what it is that they’ll be doing.

You may even want to look at other intern postings online to help you decide what to include.

 

3. Use the Internet and your existing network to help you find an intern.

Most of the individuals searching for an internship experience are students and young alumni. Because it’s likely that these individuals haven’t had extensive amounts of career experience, it’s easier to mold their talents and help them hone in on those they haven’t yet developed. And that should be exciting for both you and them.

To find your young Padawan, it’s essential to utilize the correct platforms. For now, we’ll focus on three outlets to aid your search: career centers, online postings, and personal networking.

Career Centers

The vast majority of large universities and colleges are outfitted with programs and facilities that provide their students with professional working opportunities. Some universities might call it a career centeror “services/development program. The jargon’s all a little different, but globally, the mission is the same—to find work experience, internships, and jobs for students and recent graduates.

Cast your eyes on the example of New York University, which operates the Wasserman Center for Career Development. This career center provides extensive lists of internship opportunities, jobs, and sound advice in the sojourn of career discovery.

My advice to you is to shoot for the stars! Contact every university career center in your respective city or state, and use those centers to network your way to great candidates. They can provide you with potential career fair dates, ensuring that you can speak with students in person, or potentially provide listings or direct links for your internship on their website.

As you build relationships with students and career centers, you’ll develop a steady stream of candidates through pre-existing relationships. And when students provide positive feedback about you to their career centers, you’re more likely to receive continuous and high-quality candidates. The other benefit of going through career centers is, of course, that they’ll often do the regular work of searching for your intern so that you don’t have to!

 

Online Postings

Remember, the interweb is a friend not a foe. This is an essential element to the success of finding your intern in the haystack.

To get even more specific, when looking for interns in university-level programs, go to the places they would go. Posting ads on Craigslist won’t likely aid you in the process of searching for an intern if the population you’re searching for isn’t using Craigslist.

Students and recent grads alike utilize a multitude of websites, some of the most popular being LinkedIn, Internships.com, and Handshake. LinkedIn proves to be a necessary networking tool for the duration of careers, as you probably already know. To ensure that you are fully utilizing LinkedIn, make sure to join groups with similar missions to promote your business and discover talent. I found this article particularly useful.

Additionally, in searching for interns, I’d insist on using websites like Handshake and Internships.com, which directly target college students and young alumni. Handshake specifically has access to over 8 million students and young adults, and more than 475 career centers. And Internships.com is the world’s largest student-focused internship marketplace, bringing students, employers, and higher education institutions together in one centralized location. Convenient, eh?

And should you wish to cast your net wider, many standard job posting sites like Idealist and Work For Good also allow for internship listings.

Personal Networks

Last but certainly not least, don’t underestimate the potential of your personal network. The people you already know may help you find your best interns.

It’s easiest to start with your friends and family. Put out the word that you’re looking for an intern, and see if they can help you fill the spot quickly. Just remember to include that clearly-defined intern job description, even when talking to people casually.

Next, post about the internship on your personal and professional social media outlets and in groups. This is a great, and fast, way to spread the word about your opportunity.

And a final example is the connections you have with clients or peers in the same field. More than often, students and young alumni are looking for more than one consecutive internship. One summer they might work for a for-profit manufacturer that produces burlap supplies for a local, nonprofit coffee shop. But next summer, that same intern wants to work at the coffee shop itself. So, reach out to your partners and colleagues for contacts.

With a little preparation and planning, you’ll find your dynamic duo. The Robin to your Batman. The Sonny to your Cher.

So, when I wanted to talk about the subject of working with volunteers, she instantly came to mind. 5 Quick Ways for Meaningful Connections with Volunteers

One of my favorite quotes from General George S. Patton says, “Do not tell people how to do things, tell them what to do and let them surprise you with their ingenuity.”

This idea can be a great way to connect with volunteers in your organization. Whether you run a nonprofit, a faith-based organization, or a social enterprise, you will need champions and advocates for your cause. You need volunteers.

When first reaching out to anyone outside of your immediate circle of trust like your roommates or family, it helps to have a few guidelines in place:

 

1.     Have a Clear Vision

Have a clear vision for what you want done or need to accomplish. If you need volunteers for a specific project, take the time to set some standard operating procedures (SOPs) and think through all the nitty gritty details of possible mishaps or misunderstandings. When you share your vision, your mission, and why this project is important, you engage volunteers on a different level. You bring them along with you on your journey and enable them to help you reach your goals. Allowing them to see themselves as a part of helping achieve that mission empowers them to be even more meaningful volunteers.

 

2.     Communicate Effectively

If you need five volunteers to show up a 5:45 a.m., be specific and tell them why.  Also tell them where to park, what to wear, what the weather will be, and provide a job description or project overview. I have learned that volunteers appreciate you anticipating their questions and providing the answers in advance. This makes their experience easier and allows them to be more effective.

Also, double check emails and social media posts. You may think that post looked fine at 1:37 a.m. when you wrote it, but trust me—it’s best to double check each darn line for accuracy and clarity.

 

3.     Don’t Micromanage

This can be tricky if you do not have a set plan of action in place. The quote from Patton comes in to play here—allow for some ingenuity when people attempt to complete a task.  Provide your volunteers with a comprehensive orientation or training of the task at hand, but allow for creative execution of those tasks. You may learn that there is a new way to spread mulch, write code, or play “Jeopardy.” 

It is key that volunteers enjoy what they are doing. Allow for those fun moments to happen. Your volunteers may not completely finish the task at hand, but if they had fun attempting it, they may come back another time to finish! If you bash their efforts, you will lose them forever. Understand that their help moves the mission needle, and gets you one step closer towards meeting that mission.

 

4.     Bring Snacks

Do not anticipate that people will have eaten before arriving to help. Life gets in the way and, if you live in Atlanta like I do, you know that even 20 minutes sitting in traffic can make you “hangry.” Have something healthy like protein bars or apples. However, know your audience! If you have youth volunteers, add Munchkins, a box of clementines, and hot chocolate. Or if you have a Millennial crowd, add happy hour fare or make arrangements to meet afterwards at a local establishment. (Cheers!)

 

5.      Recognize Your Volunteers

We have seen that there are now “national days” for anything! Well, there are actually 15 days that are dedicated to thanking volunteers. Even though many volunteers do what they do for the good of it and not for the recognition, this is still a key element for managing and retaining your volunteers. Taking the time to sincerely thank each person validates their efforts and helps them feel appreciated. No one likes for their work to be summarily dismissed. 

Volunteer retention is highest with organizations where volunteers feel wanted, cared for, and appreciated. Pebble Tossers used to present a Youth of the Year award, but we learned that volunteers (and their parents) did not want to self-nominate. They did not want to seek attention or seem boastful. So, we have found that recognizing volunteers with the President’s Volunteer Service Award is subtle and private, yet very meaningful. Volunteer recognition should be honest, sincere, and frequent. The recognition can spark conversations, create new connections, and build new brand ambassadors for your organization. 

 

These five tips help connect volunteers with your mission. You are gifting to them your organization’s vision, and inviting them to take that gift and create ripples which share that mission throughout their communities. This may be the reach you needed to grow your organization or solidify your reputation. This reach, when coming from people other than yourself, not only validates you and your mission, but the effort of all the other volunteers as well.

7 Simple Tools That Build a Strong Small Business Foundation

It's mid-January, and you may already be struggling to keep your New Year's resolutions. It's pretty common, and I feel the tug backwards too. Staying motivated just isn't easy when it's 20 degrees outside, am I right? But one of the best ways I've found for keeping myself focused and moving forward is to stay immersed in a subject, rather than it being a one-time lesson.

So, for the final weeks of January, I wanted to talk about "small business resolutions" that we should make and keep this year. These are things you may or may not have already thought about, but I believe they are key to a thriving nonprofit or social enterprise.

First up, I want to talk about seven simple tools that build a strong small business foundation. Think of this as putting your best, professional foot forward. You may consider the items below to be the next progression of your organization, or you may even just think of them as resetting to zero because they've been on your list for a long time, and you just haven't made the effort yet. Either way, they'll not only up your game, but they'll also improve people's perceptions of your organization, which, let's face it, is important whether we want it to be or not.

7 Simple Tools That Build a Strong Small Business Foundation

The Contract Shop

Many of us spend thousands of dollars ensuring that we have a beautiful, functional website, but after it's live, we do little to protect it and our business. Enter The Contract Shop. An ingenious way to make legal contracts easy and handy from my friend and mentor, Christina, you can stop by the shop and purchase a terms and conditions template for your website site in a jiffy.

When I launched my site, I knew that I needed to include all the legalese, but had no idea how to write it or what it needed to say. However, once I purchased this template, I had the terms, conditions, and privacy policy online in about 15 minutes! I've heard terrible stories about people's website design and content getting ripped off, and even saw it happen once to a client. This is an simple way to protect your uniqueness, and gives you legal standing, should you ever need it.

While there, you can also grab an independent contractor template, the conference speaker template, or nondisclosure template, if needed.

HelloSign

Along the same lines, I use HelloSign to send contracts via email. There's nothing worse that scanning Word doc pages back and forth, is there? And do you ever skimp and send just the signature page rather than the whole doc, meaning it could really be the last page to just about anything? This is where HelloSign comes in handy.

For those of us who may only need something like this now and again, you can even get three, free uses per month. Regardless, HelloSign makes it super quick to upload or create docs, mark them for signatures, and send. It keeps the entire document together, gives you status updates, and best of all, makes electronic signatures legal. And bonus, you look like a pro and someone to be taken seriously.

 

G Suite

If you're running a professional organization, I beg you to use a branded email. This means, avoiding "generic" emails like Gmail, Yahoo, or something similar. Those kinds of things can cut it when you're only speaking to friends and family, but if you really plan on increasing your reach, and especially taking sales or donations, this just doesn't look good. 

Would you rather give a large donation or make a large purchase to company@gmail.com or customerservice@company.com? With all the data breach issues we've had over the last couple of years, my money is only going to places that I can verify, and I don't think I'm alone in that mindset.

G Suite is a simple and reasonably-priced way to brand your emails. My email technically flows through Gmail, but my URL is in the address, making everything look way more legit. Plus, there are a lot of other benefits that come with G Suite, like Google Drive, which makes storing and sending large files less complicated.

 

Freshbooks

Need to send invoices? Freshbooks is way to go because it's incredibly simple to use. In fact, it's so easy to use that sometimes I double-check it, thinking I missed one of the steps. Nope! 

I used to create invoices in Word or Excel and they didn't look all that great, took some time to edit, and I didn't like the way they were organized. I don't have that problem anymore! 

And I haven't really started utilizing it yet, but Freshbooks also has a time-tracking feature that I want to take advantage of this year. You can even store receipts in Freshbooks as well. 

Note that this isn't a full accounting suite, but it does the job for me.

MailChimp

To be completely honest, I have a mixed relationship with MailChimp. I have used them for years at previous jobs, and currently use them for Signify's email marketing, but that likely won't always be the case. However, for the vast majority of my clients at nonprofits and social enterprises, MailChimp does a good job. If you have pretty simple email marketing needs, and just need to send regular e-blasts, you'll do just fine with them.

I bring this up, though, because I've recently seen a couple organizations that still use Constant Contact, which frankly, I'm surprised is still in business. Their templates and blasts look years behind those sent by MailChimp and it's competitors. And, again, whether you like or not, looks matter. The content and design both speak to where your company ranks in people's minds, even without them realizing it.

Like I said, if you have pretty straight-forward email marketing needs, MailChimp can do the job. And another one of the reasons so many people use them is the affordable pricing. It's even free if you have under 2,000 subscribers, so there's little excuse. Of course, at this point, I'll remind you that you have to actually send emails to your database. But we'll leave that bigger rant till later in this series . . . 

 

Canva

Gone are the days when social media was new and we could just post some simple text online and call it a day. Photo, and especially video, are trends that aren't going anywhere. You need to get people to see what you're doing online, and graphics are one way to say, "Hey! Look at me!" And Canva can help.

Canva is another one of those genius ideas that I wouldn't have a clue how to build, but wish was my idea. It gives anyone the ability to create professional-looking graphics. And they're perfectly sized to wherever you need to post them! It's a free tool that you need to get on board with, if you haven't already. For those of us who don't have a designer on staff, or can't afford to pay someone for our regular, graphic needs, Canva is a lifesaver. 

 

Moo

Part of your business strategy likely includes networking events. And whether you're attending a three-day conference or a two-hour seminar, you need to show up with business cards—unless you don't want to talk to anyone, tell anyone about your organization, or have anyone follow-up with you about how they can support you. Umm, those criteria probably do not fit, correct? (Hope not!)

I attend a lot of conferences and events, and am always surprised when people say they'd like to get my info, or give me theirs, but they don't have business cards. Sure, we need them less and less in today's world, but guess what—we still need them sometimes! 

Moo is where I got my business cards, and I love them. They look (and feel) great, and because I originally needed them for a last-minute work trip, I also received them in just a couple of days. You don't have to order many, but I would suggest always having a few on hand.

And depending on your needs, you'll also find letterhead, greeting cards, stickers, and more on their site. I'm actually thinking of ordering some greeting cards with Signify's logo on them to use as thank you cards. 

 

As you can see, building a strong small business foundation includes a lot of different things. Sometimes you have to think in terms of legal compliance, and sometimes you just need to get with the times. Either way, I hope these seven simple tools help you.

Since I pump out new blog content every week, it stands to reason that you may have missed a post or two in the hubbub of your workdays. Even as a marketer, I know that I should be marketing my blog posts much more than I am actually writing them, but they both have to get done, so my time is always split. It's a common frustration many of us share, right?

There are, of course, a lot of ways to get traffic to your site, but for most of us, the day in and day out formula revolves around social media. And if you spend several hours writing a blog post, but only promote it on social media a couple of times, it could easily go to the internet graveyard. #RIP

So, what's the solution? I think it might be a social media scheduling tool, especially if you do not have someone who is solely dedicated to your social media strategy. There are a lot of popular options out there, and I took the time to review 13 of them. None were perfect (though some come close!), and several were quite similar, but I think you'll find some great choices for your nonprofit or social enterprise.

2. 8 WAYS YOU'RE SABOTAGING YOUR LAUNCHES (AND HOW TO FIX THEM!)

Every launch is a big deal. It takes your valuable time and resources, not to mention oodles of effort. So, whether it's the launch of a new website, a book, a campaign, an event, or a product, it needs to get the job done. After all, you don't have time to waste. I know this because I know many others like you, and you've got too much on your plate for missed opportunities.

But what happens when a launch is just okay? Or maybe it's good, but it wasn't as good as you'd hoped. Or, sadly, what if it flops? (FYI, even successful launches have room for improvement.)

No matter which of these situations you find yourself in, I've observed a number reasons throughout my career in marketing, PR, and events (among other things) that may be causing you to unconsciously sabotage your launches. I'll touch on eight of them here. But don't worry, there is hope! I'll also show you how to fix them so that your next launch is your best yet.

3. WHAT YOU NEED TO CONVINCE POTENTIAL SPONSORS AND PARTNERS

Whether you're a nonprofit or for-profit social enterprise, chances are that you're on the hunt for a corporate sponsor or partner. It could be for a long-term initiative, upcoming event, or special campaign. 

And why wouldn't you be? Corporate sponsors and partners bring in new revenue, as well as a new audience that is potentially untapped by your organization or cause. The benefits to you are crystal clear.

However, have you stopped to think about what you bring to the table? There's plenty in it for the companies you're asking as well. Never sell yourself short.

These kinds of collaborations are called "cause marketing," and friends, I have really good news. There is no better time for it, and I'm about to tell you why. The bad news is that you may have the wrong approach.

4. 10 TOOLS TO MAKE YOUR SMALL BUSINESS LOOK MORE PROFESSIONAL (MOST ARE FREE!)

I'm not sure running a small business will ever get easier, because I don't really know anyone, anywhere, at any size company who wishes they had more to do. But when you have a larger team, you at least have more of a division of responsibility. So, it can be challenging to look like a larger organization when it's just you at a desk in your guest bedroom, or just you and a few friends who decided to jump in and solve one of the world's problems over coffee one afternoon. However, looking more professional, like a large business would, can often mean more sales or donations, more support, sponsors, and more attention. 

So, how do you make that happen? I still have a lot to learn myself, but here are just a few of the tools that help my one-woman show look a wee bit bigger and more professional.

5. HOW TO EASILY INVEST IN YOURSELF AND YOUR ORGANIZATION

First of all, I'm not just talking about throwing money at the latest software, or buying fancy computers, or getting team t-shirts, though that would be snazzy. I'm talking about the "deeper" investments for personal and professional growth, which leads to added value and growth for your organization.

When you invest in yourself personally, you knowingly—and unknowingly—apply that new knowledge and experience everywhere around you. So, even then, you're benefitting your organization. And when you invest in yourself for your job, or on behalf of your organization, your directly applying that new knowledge to your role and your cause. Intentionally investing in yourself also often provides renewed energy, focus, determination, know-how, and purpose. So, why not get on board?
